I just hired my first virtual assistant (VA) last month and let me tell you, having been a VA myself for many years, it’s very cool to be on the other side of things! The process was very smooth, I found the perfect person, and I thought it would be a great idea to break down my process for onboarding that special someone as the theme for this month.

In this video, I cover 1) if you even need to hire a VA and 2) if you have a VA but feel that something isn’t quite right and you are not sure if you should find someone else. If that’s the case, I have some tips for you as well.

What we are going to cover this week is answering 1) if you even need to hire a VA and 2) if you have a VA but something isn’t going right but not sure if you need to find someone else.
First, here are signs that you need to hire a VA:
- You know you need someone, not making money because you are spending all your time on admin, too much to do, you are working days, nights, and weekends.
- You feel like you are and barely getting by and have identified things you can offload their tasks.
- Maybe you lack expertise in a certain area and it makes sense to bring someone on rather than spend time learning everything.
- Or your business model calls for you to stop being the hub, all great reasons to partner with a VA.
You’re on the right track and you should definitely hire someone.
Now, what if you aren’t sure if you have the right person for the job? Some signs of this are that things aren’t handled the way you want, you have things set up correctly but you still aren’t getting the results you had hoped for. Or you feel like even with an assistant you are still doing it all yourself.
Now, this can be because you don’t have the right person in the right position. Sometimes this is because the individual you brought in may have had one set of skills, and the position that you put them in requires a different set of skills. I see this a lot when a business owner hires someone to help them with technical and back-end programs and then asks them to do customer service, it could be a mismatch of skillsets.
If you feel like you’re doing it all, again, this could be a mismatch of skillsets or you need to bring on additional VAs or you may need help delegating or you don’t know what you can delegate.
I’ve heard it many times, problems you have in your business is usually a systems problem. Do you have a system for hiring a VA? For onboarding and training? How about after they are working for you, do you have a system set up for communication? Do you have an SOP guide, were they trained properly. Look at that first before deciding if you need to replace someone.
90% of the time, it’s a systems problem.
And if you’re at that point where it’s not a good fit, hire slow and fire fast. Nothing wrong with breaking up with your VA just like if you’re a VA there’s nothing wrong with breaking up with a client if it’s just not a good fit.
