I am Lisa Wells, your Virtual Assistant Trainer.
So far, we’ve covered everything from planning to marketing. Today, we dive into the pivotal moments of executing your event and the critical post-event activities that can set the stage for future success.
In this episode, we talk about Showtime and Beyond: Executing and Following Up After Your Online Event.
Smooth Execution: The Heart of Your Event’s Success
The success of an online event hinges significantly on its execution. A smooth run ensures that your attendees have a seamless and enjoyable experience, reflecting positively on your brand and setting the stage for future engagements.
Welcome and Orientation
As the event kicks off, welcome your attendees warmly, just as you would in a physical venue. What I like to do is be on camera, pre-webinar playlist going with energizing music, and welcome people via chat. At go-time, doing a quick and friendly orientation can help attendees navigate the virtual environment, making them feel comfortable and included.
Technical Checks and Balances
Sometimes I will have an assistant on the call to ensure that all technical aspects are double-checked. If you have a guest or other speakers, do a quick hello to check audio and video quality. there’s nothing worse than having attendees sit there while you troubleshoot internet connectivity so make sure the online platform is running flawlessly before you continue.
Engaging Your Audience
Keep the energy high and the audience engaged. Use interactive tools like polls, Q&A sessions, and chat functions. Encourage attendees to participate and voice their opinions, creating a dynamic and interactive experience.
The end of your event doesn’t mean the work is done, you want to capitalize on momentum. GatPost-event activities are crucial for gathering feedback, analyzing performance, and maintaining engagement with your attendees.
Gathering Feedback through Post-Event Surveys
Send out post-event surveys to gather valuable feedback from your attendees. Ask about their experience, what they enjoyed, what could be improved, and what they would like to see in future events. This information is gold, helping you refine and improve for next time.
Data Analysis for Informed Decisions
Dive into the data. Analyze attendance rates, engagement levels, and other key metrics. Understand what worked and what didn’t, and use these insights to make informed decisions for future events.
Follow-Up Communications
Don’t let the conversation end when the event does. Send follow-up emails thanking attendees for their participation, providing them with key takeaways, and perhaps even a recorded version of the event for those who missed out or want to revisit certain parts.
Maintaining Engagement
Keep the momentum going. Share additional resources related to your event’s theme, invite attendees to join your community or mailing list, and keep them in the loop about upcoming events or initiatives.
Leveraging Event Content for Future Marketing
Your event is a treasure trove of content. Edit recordings into bite-sized pieces that can be shared on social media or used in future marketing campaigns. This not only extends the life of your content but also helps reach audience members who might have missed the live event.
Executing a successful online event and following up effectively are critical steps in ensuring the long-term success of your online event strategy. By focusing on smooth execution and comprehensive post-event activities, you set the stage for future success, build lasting relationships with your attendees, and establish your brand as a leader in the digital event space.
Remember, every event is a learning opportunity. Take the time to analyze, reflect, and act on the insights gained, and you’ll find that each event becomes a stepping stone to greater success. Here’s to hosting fantastic online events that leave your attendees waiting for more!
